Request Service

The Request Service option allows users to create request services. Housekeeping services are used to define and manage the work items needed to service rooms on the property. Most properties define the service types and schedule for housekeeping and maintenance when they set up their property.

Perform the following steps to request services:

Navigate to Rooms Mgmt à Housekeeping.

Click Request Service. The Request Service dialog box appears.

Refer to the following table and fill in the fields to create request services:

Field

Description

Area

The area is the identifier that ties rooms or public spaces together. If Room field is selected as the Area, select the Room where the service is requested.

Building

The name of the building in the property.

Room

A unique identifier of the room.

Category

The category of the housekeeping service.

  • HK (Housekeeping)

  • MT (Maintenance)

  • HKG (Guest Service Request)

Service

The service type of the housekeeping service. For example, if Maintenance is selected:

  • Electrical

  • Heating, Ventilation, and Air Conditioning

  • Plumbing

  • Other

Notes

The description about the service required. The description is limited to 100 characters.

Severity

The severity of the service.

  • Minor - Low priority request that is not urgent.

  • Normal – Default Medium priority request that may have a time limit.

  • Urgent - Requires immediate attention.

Status

A status shows the progress of the service request. By default, the Status of service requests are automatically New. After the request is entered, the Status can be changed to reflect the progress of the request.

Set Schedule

Allows the user to set a schedule date and time for the service requested. The date can be selected from the Scheduled date calendar. Time can be entered in the text box provided.

Resource

The resource of the service.

Click Done.

When a new service request is created for a room and if the condition of the room matches the Closes on Condition conditions of the service requests being created, a Confirm Service Condition pop up is displayed where users can update the housekeeping condition for the room.

Users can select the new housekeeping condition from the dropdown before confirming the service request. Users with access to the following roles will be allowed to change the housekeeping condition for a discrepant room:

  • System Administrator

  • Stay Hotel Manager

  • Department Manager

  • Stay Hotel Supervisor

  • Stay Housekeeping Supervisor

A popup screen, Confirm Room Discrepancy, will be displayed, where guests can confirm the change in housekeeping condition

Housekeeping Supervisor

After creating the service request, if the same service request is going to be created at the due to the housekeeping condition change the Request Service screen is displayed with the following message: A similar service request was created due to the housekeeping condition update. Check the Unassigned Service Requests section.

The fields in the request service model are disabled and user the user must close and reopen the model again to create another service requests (if required).

Click Done. The request for the service is raised successfully.

After the user saves the request, the user can change the status of the service to completed or closed.

Properties can now set service request alerts to assist the staff with messages they can use as a script to communicate with the customer when addressing service requests. Navigate to Room Mgmt à Housekeeping and scroll to HK Guest Services Types to set a custom script for each service type.
